Track Team Usage at a Glance
The Utilization Report gives Managers a clear breakdown of who’s busy, who’s underbooked, and how your team’s capacity is being used. It’s an essential tool for balancing workloads, forecasting future demand, and making smarter resource decisions.

What Is the Utilization Report?
It’s a visual and data-driven view of how your people are being booked across a selected date range. The view is grouped by:
- Office
- Department
- User
Each row shows:
- Scheduled hours vs capacity
- Utilization % in a simple bar format
- Variance between expected and actual booked hours
Understanding the Metrics
Key elements include:
- Capacity: Set working hours per person per day
- Booking Hours: Sum of confirmed bookings
- Utilization %: Booked hours ÷ capacity
The bar colours give you quick context:
- Yellow: Under of equal to 60%
- Light Green: Over 60% and less than 80%
- Dark Green: Between 80-100%
- Red: Over 100%
You’ll also see a numeric variance value showing exactly how many hours over or under the person is.
How to Use It
To get started:
- Open the Reports tab
- Click the Utilization Report button
- Select your date range and filters
- Choose how to group the data
You can:
- Expand, or collapse whole departments, or even office to see summary at a glance
- Hover over bars for tooltips with exact figures
- Click a User to view their Bookings
Tips
- Use shorter date ranges (1–2 weeks) for sprint planning
- Use broader ranges (months or quarters) for strategic forecasting
- Combine this with saved views for repeatable reporting
