Example Configurations

In the table below, we present some common ‘User Access Requirements’ and the Recommended Configuration to achieve this access .

User Access RequirementsRecommended Configuration
1. Client Users can only access Projects to which they are Invited.This would be considered the default situation for This is the default setup for Client users.

Steps:
– Create a Client Office
– Add Client Users to that Office
– Set their Project Access Level to Invite Only
– Grant Project Managers / Account Managers Multi-
Office access to the Client Office
– Create Projects in your Home Office
– Invite Client Users as needed

With this setup, staff in your Home Office will have broad access, while Clients can only see Projects they’re directly invited to.
2. Client Users can access ALL Projects created for them.Best for large groups of Client users who need full visibility.

Steps:
– Create a Client Office
– Add Client Users to that Office
– Set their Project Access Level to All Projects in My Office
– Map relevant staff to the Client Office via Multi-Office
– Create Projects in the Client Office
– Invite staff from your Home Office to each Project as
needed

This gives Clients full access to Projects created in their Office — but not to Projects in your Home Office unless explicitly invited.
3. Need to Limit Access for Staff Users for Specific ClientsUse the same setup as Option 2, with a focus on selective visibility for staff.

Key decision:– If staff should see all Projects in the Client Office, use Multi-Office mapping– If not, rely on Project Team invitations only
4. Need to invite Users from a Remote Office to work in your Home Office.Ideal for resource sharing across Offices (internal or vendor).

Steps:
– Follow the setup from Option 1, but instead of Clients,
invite Staff or Vendors from the remote Office

Access tip:To invite users from another Office:
– You must be a Network Admin, or
– Have Multi-Office access with that Office

Note: To manage shared Timesheets across Offices, configure Alien Timesheet Agreements in Pronto.
