Brand Approval Queue Enhancements
The Brand Approval Queue is where requests for new or existing Master Clients, Brands, and Products are reviewed and approved. This release makes it easier to use for both the people submitting requests and the people approving them.
Access for Project Managers
Until now, only approvers could see the Brand Approval Queue. Project Managers can now open it from their Inbox too, so they can check on the requests they’ve submitted without having to chase approvers for updates. Project Managers see their requests in a read-only view, while approvers continue to see the requests assigned to them along with the Approve and Reject buttons.
Amend a request
Sometimes a request comes in for a new Brand when the Brand already exists, or it’s been placed under the wrong Master Client. Previously, the approver had to reject it and the requestor had to start again. Now the approver can click Amend, correct the details, and submit it on the requestor’s behalf. The original request is closed with a note explaining what was changed, and the corrected request is automatically sent to the right approval group. The requestor receives an email with a link to the new request so they can follow its progress.
Discussion tab
Requestors and approvers can now talk to each other directly within a request, using the new Discussion tab. This is useful when an approver needs more information before making a decision, or a requestor wants to add context. When someone posts a comment, the other person is notified by email, and the link in the email opens the request directly. Once a request has been approved or rejected, the conversation is locked but stays visible for reference.
Sorting and filters
The columns in the queue have been rearranged into a more logical order, and you can now sort by most of them, for example to see the newest requests first. A new filter panel lets you narrow down the list by request type, requesting agency, status, reviewer group, request date, or approval date. The queue opens showing pending requests by default, a small badge lets you know when filters are applied, and Clear All Filters takes you back to the default view.
Request Access to a Brand
Project Managers and above can now submit a new brand request straight from the Brand Approval Queue using the Request Access to a Brand button, rather than having to go to the Support section.
Link reviews workflow to task workflow
Task statuses can now update automatically based on the outcome of a linked Review Round. This keeps Tasks aligned with the review process, reduces manual status updates and helps teams track work that needs further changes or has reached an approval outcome.
The highlights
- Automatic status updates — the linked Task status updates automatically when a Review Round reaches an outcome with a defined status mapping.
- Keep work moving — when a Review requires changes or reaches an approval outcome, the linked Task reflects the corresponding status, helping teams understand what needs attention next.
- Track the source of an update — an automated note in Task Notes records the status change and links back to the Review, so users can check the outcome and review feedback.
- Support multiple Reviews per Task — link multiple Reviews to the same Task and use Task Notes to identify which Review triggered the latest status update.
Review-driven Task status updates must be enabled for the relevant Office. Status changes are based on the Review Round outcome, rather than an individual reviewer’s decision, and follow the defined status mapping. Updating a Task’s status does not change the Review decision.
Pronto-Agresso Date Alignment
We’ve improved how Pronto keeps Agresso up to date when you make changes to a project or its timesheets. Finance teams in different regions like to see closed timesheets recorded in Agresso in different ways, so each Finance Profile can now be set to one of four options.
Option 1: Close the timesheets activity in Agresso (US)
When you block a project’s timesheets in Pronto, the timesheet activity marked as closed in Agresso so no more time can be logged against them. When you unblock them, they’re reopened in Agresso. The timesheet completion date in Agresso isn’t changed.
Option 2: Set a timesheet completion date in Agresso (UK/EU)
When you block a project’s timesheets in Pronto, Agresso’s timesheet completion date is set to the project’s start date, which stops any more time being logged. When you unblock them, the date is cleared so time can be logged again. The timesheets themselves stay open in Agresso.
Option 3: Do both
When you block a project’s timesheets in Pronto, they’re closed in Agresso and the timesheet completion date is set to the project’s start date. When you unblock them, both changes are reversed.
Option 4: Pronto only
Blocking or unblocking timesheets only changes things in Pronto. Agresso isn’t updated.
Completing and reopening projects
Whichever option your office uses, completing a project closes its timesheets in Agresso in the same way as blocking them. When you reopen a completed project, you can choose whether to reopen its timesheets as well, or just the project on its own. Before timesheets can be blocked or a project completed, Pronto will check that no time is still waiting to be submitted or approved.
Changing the Timesheet End Date
If you set a Timesheet End Date that’s earlier than the Project End Date, for example to stop people logging time before the project officially ends, Agresso will now record that date. If you later move it back to match the Project End Date, Agresso will be updated to match.
Phantom Jobs
Phantom Jobs start with their timesheets blocked, but this won’t close them in Agresso straight away. Their timesheets are only closed in Agresso once the project is completed, and reopening a Phantom Job always reopens its timesheets too.
These changes only apply from now on, so existing projects in Agresso won’t be updated automatically.
Multi Title Project Wizard
You can now create up to 10 projects in one go using the Project Wizard. This is handy when you need several projects that share the same details, as you only have to fill in the wizard once.
To add more projects, click the + button next to the project title and enter another title. You can add up to 10, and remove any you don’t need. Everything else you choose in the wizard, such as the agency, brand, product, finance details, and users, will apply to all of the projects.
Before you finish, the summary step lists all the project titles so you can check them, and the button shows how many projects will be created, for example “Create 10 Projects”. Once you click it, Pronto creates the projects and then takes you to the Project List, filtered to show the projects you’ve just created. If you only create one project, you’ll be taken straight to that project as usual.
Duplicate Project
You can now create a new project by duplicating an existing one. This saves time when you need a project that’s set up much like one you already have, as most of the details are filled in for you.
To duplicate a project, click the three dots on the project itself, or next to the “Go to Project” button in the Project List, and choose Duplicate Project. This opens the Project Wizard with the original project’s details already filled in, including the agency, brand, product, finance details, and the users and groups invited. A message at the top shows which project the details came from.
A few things aren’t copied, so you’ll need to fill them in yourself. You’ll enter a new project title, and the start date, end date, and template are taken from the matching agreement rather than the original project. It’s worth reviewing everything before you create the project. If you change the office, contract client, brand, or product, the new project will no longer be linked to the original and the usual agreement steps will apply.
Duplicate Project is available to any user who is allowed to create projects in your agency.
Enhancements
[#83246] FE: Add User Group to Missing & Time on Task Report
You can now filter the Missing Time and Time on Task reports by User Group. Previously, if you wanted to see timesheet data for a particular team, you had to add each person to the report one by one, and rebuild it whenever someone joined or left. Now you can simply pick the group, and the report will show everyone who currently belongs to it.
The new Timesheet Usergroup filter can be found under User Attributes when you open the report filters. Groups are listed alphabetically, you can search for a group by name, and you can select more than one group at a time. On the Missing Time report, the filter can also be included in your Saved Filters, so you can reuse the same view without setting it up each time.
[#83206] Project List: Implement new Commission-related columns
Three new columns have been added to the Project List, giving you more visibility of each project’s finances and timesheet settings without having to open the project itself.
- Estimated Commission shows the total agency commission across all approved estimates on the project
- Expected Costs shows the total expected costs across those same approved estimates. You’ll find both next to the existing Estimated External Costs column.
- Timesheet Status, which sits next to Project Status, shows whether timesheets are blocked on the project, displayed as Yes or No.
The new columns are hidden by default. To show them, right-click any column header, choose Show/hide columns, and tick the ones you’d like to see. They’re also available when exporting the Project List. If a project doesn’t have the relevant information, for example it has no approved estimates yet, the column will be left blank.
[#83205] FE: Decrease finance items padding and field size
Estimates can have a lot of columns, especially in offices that use both commission and mark-up, which could make the finance items feel cramped and harder to read. We’ve tidied up the layout so everything fits more comfortably on the screen.
On smaller screens, the finance items keep their layout and you can scroll sideways to see all the columns, rather than the rows breaking apart.
[#83260] FE Task: Time Report & Pending Approval: show new filters + columns
The Time Report and Pending Approval pages have new ways to filter timesheet data, making it easier to focus on the people and brands you’re interested in.
You can now filter by User Branch and Working Cost Centre, which you’ll find under User Attributes when you open the filters. Branches are listed by name with their code alongside, for example Overheads [5000], so they’re easy to recognise. You can clear either filter at any time to go back to the full list.
The Brand filter has also been improved. As well as searching by brand name, you can now find a brand by typing its unique code or its Magnitude Code, which is handy if you know the code but not the exact brand name.
[#83016] FE: Create a panel for Project Finance Setting Report
The Project Finance Setting report went missing from the Reports page after a recent Pronto upgrade. It has now been added back, and you’ll find it under the Finance group.
The report is available to Ops users in Agresso offices.
FIXES
[#83201] Bug: cloning sync control records should only clone profiles
Creating a new finance profile was also copying ledger-level syncs to that profile, which caused those syncs to run more than once for the same ledger. For example, the Staff sync for ledger M1 was running three times, once for each profile on that ledger.
This has been fixed. New finance profiles now only receive profile-level syncs, and each ledger-level sync runs once per ledger as intended.
[#83546] Grand Total field in Invoices is empty
The Grand Total section on invoices was showing up empty, even when the invoice had items on it. This has been fixed, and invoices now calculate and display their totals the same way estimates do.
All amounts in the Grand Total section follow your office’s number format settings, so thousand separators and decimals appear the way your office has chosen.
[#83528] Migration: Fix invalid booking date range
A small number of older bookings had their dates entered the wrong way round, so the booking appeared to end before it started. For example, a booking meant to run from 9am on 2 July to 5pm on 3 July had been saved as starting on 3 July and ending on 2 July.
These bookings have now been corrected. The dates have been swapped so each booking runs in the right order, while the original start and end times have been kept. All other bookings are unchanged.
[#83679] Bug: Finance Detail Report deeplink problems
When you apply filters in these reports, the page link updates so you can bookmark or share that exact view. Opening one of these links could cause two problems. The charts at the top of the report sometimes showed the wrong figures, not matching the data in the table below. Clearing your filters on one tab also didn’t carry over, so when you switched to another tab, the old filters were still applied.
Both issues have been fixed across all tabs in the Finance Detail and Finance Summary reports. The charts now always match the data being shown, and clearing your filters clears them on every tab.
[#82952] Project List – Error on Sort
For some users, the Project List could fail to load and show an error instead of their projects. This happened when the list was sorted by Project Category or Project Subcategory, but those columns weren’t available for the clients the user was viewing, as not every client uses project categories. This was more likely to happen if the sort had been saved earlier while viewing a client that does use them.
This has been fixed, and the Project List now loads correctly in these cases.
